Executive Assistant/Administrative Chief of Staff
One of our top clients in the Life Science Tech industry is seeking a driven EA/Administrative Chief of Staff to support their CEO and CSO. The right candidate will handle varying administrative duties effectively with confidentiality, sound-decision making, and a proactive attitude. This role regularly interacts with the Board of Directors, internal employees, customers, and investors, as such, this role is highly visible and is ideal for those interested in the company’s strategic growth plans and an understanding of the broader business. Responsibilities:
Manage all calendar needs, complex domestic and international travel arrangements, and business expenses for CEO and CSO
Assist CEO with necessary preparation for his internal and external meetings, conferences, and events
Streamline more effective time, information, and decision-making for the CEO in areas of this role’s responsibility.
Recommend new processes and approaches to drive efficiencies and productivity within scope of role.
Develop and maintain an inventory of critical path projects
Manage logistics for weekly executive team meetings and take notes on any action items
Assist with preparation and production of presentations and meeting materials for CEO
Project manage and effectively collaborate with others for special projects at CEO/CSO request
Serve as a strong communication support channel between CEO and executive leadership team
With support, maintain a long-range calendar of company events/activities for CEO/executive leadership team to reference while planning corporate events
Facilitate business operations communication. Share updates and information on behalf of CEO for business-as-usual matters
Regularly handle information that is highly confidential, strategic, and critical
Job Requirements:
Bachelor’s degree
5 years of professional experience
Experience in executive support, project management, operations, or consulting in a fast-paced environment is preferred
Industry Experience in Life Science or Tech
Excellent verbal and written communicator
Expert project management/organization skills and exceptional attention to detail
Strong computer skills required including full proficiency in Microsoft Outlook, Office Suite: Excel, Word, and PowerPoint
Able to work well under pressure, be adaptable, and pivot quickly as priorities shift
Must possess superior judgment, professionalism, and the ability to maintain the highest level of confidentiality at all times
Willingness to work hard and take direction while also actively problem-solve without explicit guidance
Pay:
$120,000 – $145,000
